SMS Privacy Notice

About this notice

Workbench SMS is an optional operational messaging program operated by Diehl Development, LLC for authorized Workbench users. It covers task and service alerts, acknowledgement reminders, recovery updates, and acknowledgement or comment replies. It is not an advertising program.

This notice covers the SMS program. Workbench task information remains in the private board and is accessible only through authorized access. Visiting these public policy pages does not enroll you in SMS.

Information we collect and why

We collect your mobile number, enrollment and opt-out records, message text, delivery information, message identifiers, timestamps, and associated task or incident references. We use these records to deliver requested alerts, route replies, record acknowledgements, avoid duplicate processing, honor your preferences, and investigate service problems.

Who processes the information

Amazon Web Services (AWS) and telecommunications providers process the information needed to send and receive messages. Authorized Workbench users and services can access task and incident records according to their permissions. We may disclose information when required by law.

We do not sell mobile numbers or share mobile numbers, opt-in records, or consent with third parties for marketing or promotional purposes. We share information with service providers only as needed to operate and support the program, subject to the purposes described here.

A comment you send by SMS and save to a task may be provided as task context to authorized AI agents using OpenAI Codex or Anthropic Claude when needed for that task. Mobile numbers and consent records are not supplied to those agents merely to identify the author. The relevant provider and account terms govern that processing; this notice makes no separate model-training or provider-retention guarantee.

How long we keep records

Once the SMS service is activated, Workbench retains SMS message text and delivery records for 90 days after the message is sent or received, then deletes them from its SMS records. Copies under our control, including backups, must follow that retention period.

If a reply is intentionally added as a comment to a Workbench task, that comment becomes part of the task history and may remain until the task history is deleted. The 90-day SMS retention period does not automatically delete those task comments.

We keep the minimum enrollment, consent, and opt-out evidence needed to document permission, honor your messaging preferences, and prevent unwanted re-enrollment. These records are separate from routine message text and delivery records. A narrowly limited record may be retained longer when required by law or needed to resolve a specific dispute or security incident; access and use remain restricted to that purpose.

AWS and telecommunications providers may retain records under their own applicable policies and obligations. The 90-day period describes the records controlled by Workbench.

Your choices and requests

When the service is active, reply STOP to stop SMS notifications or HELP for program assistance. You can also contact us by email. Stopping SMS does not cancel a task, resolve an incident, or delete a Workbench account.

For access, correction, deletion, or privacy questions, contact Aaron at aaron@heresthediehl.com. We may need to verify your identity before acting on an information request. Some minimal opt-out evidence may need to remain so that we can honor your choice.

Keep sensitive information on the board

SMS is not end-to-end encrypted. Alerts use short incident references and, when available, links to the private board instead of confidential task details. Do not send passwords, access keys, tax identifiers, or sensitive documents by text.
